10 Calendar Reminder Templates
The night-before, hour-before, "you missed it" templates. The reminder is the most underrated touchpoint in the booking lifecycle. Most no-shows would have shown up if they'd seen it.
Variables: {firstName}, {meeting_time}, {your_calendar_link}, {your_video_link}.
SECTION 01Night-before / day-of reminders (5)
1. The clean
Hey {firstName} , looking forward to our 15 minutes tomorrow at {meeting_time}. {your_video_link}
2. The pre-question
Looking forward to chatting tomorrow at {meeting_time}, {firstName}. Quick question to make it useful: what's the single thing you want to walk away with? {your_video_link}
3. The light prep
Tomorrow at {meeting_time}. I'll have {one_specific_thing} ready to walk through. {your_video_link}
4. The frame
Heads up for {meeting_time} tomorrow. Plan: 5 minutes you, 5 minutes me, 5 minutes whatever lands. Looking forward. {your_video_link}
5. The flexibility offer
Friendly reminder, {firstName} , we're on for {meeting_time} tomorrow. If something has shifted, tell me, no problem. Otherwise: {your_video_link}
SECTION 02Hour-before reminders (3)
6. The minimum
Heading into our chat in 1 hour. {your_video_link}
7. The light energy
60 minutes out from our 15. See you at {meeting_time}. {your_video_link}
8. The fallback
Hour out, {firstName}. Link: {your_video_link}. If you can't make it, send a one-liner; we'll reschedule clean.
SECTION 03Missed-meeting templates (2)

9. The graceful
Hey {firstName} , I think we got crossed up on the {meeting_time} call. No worries; happens to the best of us. Want to reschedule? {your_calendar_link}
10. The honest
{firstName} , looks like we missed each other today. Either I had the wrong time, or your day got hijacked. Either way: {your_calendar_link} when you've got a fresh slot.
SECTION 04The frame: what reminders are FOR
The reminder isn't a "checking in." It's removing friction at the moment of decision. The prospect isn't deciding "should I take this meeting?" , they decided that already. They're deciding "where's the link, how do I get there, am I prepped enough?"
Your job: answer those three questions in 1-2 sentences. Provide the link. Get out of the way.
SECTION 05What to never include in a reminder
- "Just wanted to make sure we're still on"
- "I know you're busy, but..."
- A second pitch
- A request for them to confirm again
- A 200-word recap of what you'll discuss
SECTION 06Auto-reminder vs personal reminder

Calendly and cal.com auto-send reminders. Don't disable them; they handle the basics.
But the personal note , written by you, sent the day before from your own email , increases show rate noticeably. Worth 90 seconds per booking.
SECTION 07Multi-reminder cadence
For high-value meetings, layer 3 touches:
- 24 hours before: personal email or LinkedIn message
- 1 hour before: auto reminder from calendar tool
- Day-of, 5 minutes before: your own DM with the link
For standard 15-minute intros, just do 1 and 2.
