SECTION 02Email body template

A short note on each number: acceptance and reply rates tell us if the audience and message are matched. Show rate tells us if your booking process is working. Pipeline and closed-won tell us if any of this is producing real revenue. If the first three are healthy and the last two are not, the issue is downstream of us. If the first three are off, the issue is in the campaign and we will fix it.

SECTION 04Strategist write block (the 4 hand-written sections)

The auto-fill handles numbers and structure. The strategist writes 4 short sections per quarter, per client:

  1. The win paragraph (~80 words). Pick the single most interesting result. Not the biggest deal. The most instructive one. What was the angle, what was the prospect's situation, what does it suggest about the audience.
  1. The pattern paragraph (~120 words). Read the quarter's conversations as a stack. What repeats? Which openers worked, which fell flat. Anonymize specific examples.
  1. What would change (~100 words, two points). Be honest. The first thing the client wants from this email is to feel that the strategist sees what they see. Naming a real issue, with a real fix, builds more trust than spinning a soft quarter.
  1. What is next (~60 words, three priorities). Concrete. Each priority should be measurable in 90 days.

Before the recap goes out:

SECTION 06Failure mode notes

The most common reason a client churns the quarter after a recap email is that the recap was generic. Numbers without commentary. Spin without honesty. Auto-fill alone is not enough. Every recap must have human-written commentary or it will not work.

Second most common reason: the recap arrives a week or more after quarter close. The freshness is the value. If we are sending Q1 recaps in May, the conversation is already two cycles past. Build the strategist write block into the calendar as a hard 5-day window: quarter closes Friday, recap drops the following Tuesday, no exceptions.

Third reason: the strategist hand-writes a recap that is too long. The numbers block is fine to be dense. The commentary should be short. A client reading on phone should be able to finish in 90 seconds. If the email is over 600 words, cut.
